Job Description

This hourly (non-exempt) position is an administrative and legal document preparation position within the Commercial Loans Department.  This position is primarily responsible for performing administrative tasks and preparing loan documents.

 

DUTIES & RESPONSIBILITIES:

  • Review loan write-ups and determine which legal documents are required to follow the requirements and conditions in the write-up.
  • Prepare loan documents on the LaserPro and Microsoft Word systems.
  • Assist loan associates with closings.
  • Perform general administrative functions for department including filing, scanning, maintaining computer files and spreadsheets.
  • Assist with audits and regulatory examinations.
  • Review signed loan packages for completeness and advise Loan Operations on booking the signed loan.
  • Order and review UCC/corporate, flood certificates, tract searches and title commitments as well as determine which title exceptions need to be resolved and supervise their removal.
  • Assist with follow-up’s with other banks for their UCC/mortgage releases.
  • Order and review lien searches and title commitments. 
  • Determine which title exceptions need to be resolved and supervise their removal.
  • Prepare and file UCC financing statements, continuations and terminations.
  • Manage and review Portfolio reports to determine which existing UCC’s need to be continued or allowed to lapse depending on the borrower’s loan status. 
  • Prepare UCC continuation statements monthly.
  • Draft minutes for Executive and Senior Loan Committees and for dual approvals.
  • Assist with departmental IT projects such as ordering proper e-mail searches and organizing the resulting data in an understandable form. 
  • Maintain legal documentation computer systems and department SharePoint library.
  • Conduct and complete additional assignments/projects as designated by management.

 

QUALIFICATIONS:

  • Associates Degree and/or Paralegal Certificate required. Bachelor's degree preferred.
  • One year of general banking experience, legal experience, relatable coursework, or equivalent First American Bank work experience required.
  • Must be professional, comfortable speaking with external and internal contacts with a demonstrated ability to tailor the message appropriately to the audience and situation effectively.
  • Demonstrated ability to convey thoughts and ideas effectively and succinctly via written formats, including emails, letters, and electronic platforms. Maintain professional standards relating to spelling and grammar. 
  • Maintain credibility through professional demeanor, appearance, and presence by modeling standards appropriate to our environment and industry.  
  • Maintain good working relationships with internal partners by exhibiting exemplary interpersonal skills, adopting a constructive, solutions-focused approach. 
  • Use sound professional judgment to balance the interests of the organization and customer, understanding and using available resources to mitigate risks.
  • Ability to work independently with minimal oversight, provide supervision to other employees and prioritize responsibilities. 
  • Must be a self starter with the ability to work well with others. 
  • Proficiency with Microsoft 365 products and applications, including the ability to effectively prepare or review documents, procedures, and reports.   
  • Demonstrated ability to learn new systems and applications, as well as the ability to understand, adapt and adjust responsibilities/workflows as a result of system upgrades.
  • Proficiency in  banking systems preferred.
  • Occasional travel to other First American Bank locations, Bank functions, and training facilities may be required.
  • Typical schedule is Monday through Friday 7:30 a.m to 4:30 p.m.  Additional hours may be required depending upon business neeed.
  • Work from home days possible.
  • Punctuality is required to maintain First American Bank's customer service standards.
